How It Works

From messy books to full financial clarity

Getting started with Bookkeeping Chef is straightforward. We’ve refined our onboarding process across dozens of NYC restaurants so the transition is smooth, fast, and doesn’t disrupt your operation for a single day of service.

Four phases - from first call to full visibility

Most restaurants are up and running with clean, connected books within two to three weeks of signing on. Here’s exactly how we get you there.

Week 1 — Discovery

1 - We get to know your restaurant

We start with a free 30-minute consultation — no pressure, no pitch. Our goal is to understand your operation: how many locations, what your POS and payroll systems are, where your books currently stand, and what financial visibility you’re missing right now.

If it’s a good fit, we’ll propose a service plan tailored to your restaurant’s size and needs. You’ll know exactly what you’re getting and what it costs before we start.

Weeks 1–2 — Onboarding

2 - We connect your systems and clean your books

Once you’re on board, our team integrates with your POS, QuickBooks, payroll platform, and bank accounts. If your books have gaps or need cleanup, we handle that too — so your financial history is accurate from day one, not just going forward.

POS & accounting integration

We connect Toast, Square, Clover, Lightspeed, and more directly into QuickBooks — daily sales flow in automatically.

Chart of accounts setup

We configure your chart of accounts specifically for restaurant operations — food, beverage, labor, and overhead all correctly categorized.

Historical cleanup (if needed)

Behind on your books? We'll get you caught up. Most cleanups are completed within the first two weeks.

Vendor & payroll sync

We connect your AP and payroll systems so vendor invoices and payroll entries flow directly into your books.

Ongoing — Reporting

3 - Your numbers, delivered on a consistent schedule

Once your systems are connected, you’ll receive a steady cadence of reports — weekly and monthly — without having to ask for anything. No chasing your bookkeeper. No wondering if your numbers are current.

Common Questions

What restaurant owners ask us most

Most restaurants are fully onboarded — systems connected, historical books cleaned up, and first reports delivered — within two to three weeks. If your books are significantly behind, cleanup may take a little longer, but we'll give you a clear timeline upfront.

No. We work within QuickBooks Online, which is already the industry standard for restaurant bookkeeping. If you're not on QuickBooks yet, we'll set it up for you. If you already use it, we simply take over — no migration, no data loss.

That's actually one of the most common situations we walk into. We offer historical cleanup services and can get your books reconciled and current regardless of how far behind they are. We've seen it all — we don't judge, we just fix it.

You'll have a dedicated bookkeeping team assigned to your account. The same people handle your books every month. Over time, they'll know your restaurant's financials as well as you do.

Absolutely. We work with single-location independents and multi-location groups alike. For groups, we offer consolidated reporting across all locations so you can see each property's performance side by side.
